Document copies and masters

Last updated: July 20, 2023
A document copy is an object, which represents the existence of a real-world managed document in a specific media and location.

The document copy object may be described and controlled by attributes such as the copy number, status of the copy, etc.

A singular document object may have many document copies in different media, i.e. electronic file, paper and microfiche.

Real world managed document objects are stored and distributed as document copies.

A master document is the source from which copies of the document are made. When a document is affected by change, the master document will be updated.

AssetWise allows you to identify only one master document, but many copies. You can define the media for a document master as well as for each copy. For example, the master document can be kept as an electronic file, copy one of the document as a paper copy and copy two as microfiche. A document master and its subsequent copies can be allocated to locations, to identify where the document is kept.

Only copies of a document can be distributed. The availability of document copies is managed by AssetWise, for example, whether a copy has been issued, is available for distribution, or whether it has been lost or destroyed.
